Why does a Real Estate Agent need a Transaction Coordinator?
Agents are so great at what they do... following up with clients, negotiating contracts, and navigating clients through the biggest purchase of their lives. The skills that make them amazing at those things don't necessarily translate well to the tasks TCs do. It very much takes two different personalities. TCs also take tasks off of the agents plates so they can focus on the most important part of their businesses... the CLIENTS!
Hiring a TC frees up an agent's time so they can spend less energy on paperwork and more on growing their business. A TC will track deadlines, coordinate with all parties, and keep everything organized so nothing falls through the cracks.
What all do you handle?
I'll manage paperwork compliance, deadline tracking, title and lender orders, and communication! I'll also send and collect paperwork, send disbursement authorizations, and help with verbiage on contracts. There are two things I don't handle:
1. Negotiations - while I can send addenda at the agent's direction and make sure they're signed, I won't negotiate contracts.
2. Scheduling - Closings, inspections, and showings will still be scheduled by agents. However, I can help track deadlines and check in that those items are scheduled and done.
What do you charge?
I charge a flat fee of $449 per file at closing. That means if a deal doesn't close, you don't owe anything.
When do you come into the transaction?
As soon as possible! I have simple forms for agents to fill out, which gets me all the information I need. For listings, I can come in as soon as the listing is signed. For buyers, I can come in as soon as the contract is signed.
Do you work with all brokerages?
Yes! While I'm licensed with Real Broker in Utah, I work with agents at other brokerages to provide smooth and reliable coordination.
What systems do you use?
I use Dotloop to keep my transactions in line and my tasks up to date. If an agent also uses Dotloop, I can work within their file to send and access documents and keep them up to date on all the tasks. I can also adapt to the systems agents are using! My primary goal is to make things as seamless as possible for agents and clients.
How do you communicate through the transaction process?
I keep communication as clear and simple as possible. I primarily communicate via email, and I always copy agents on emails to other parties. But I'll loop in all parties as needed!
